SUNY Niagara Print Initiative
Campus Community,
As you may have heard, SUNY Niagara launched a Print Initiative aimed at upgrading campus printing equipment with newer, more efficient models – while also significantly reducing costs. Our new contract with Toshiba lowers the monthly lease payment and the cost per printed page. The campus-wide upgrade of devices is scheduled for Monday, May 19th through Wednesday, May 21st.

Who is Affected: Students, faculty and staff, hereinafter referred to as Users.
What’s Changing:
- New Printers:
All existing Toshiba multi-function devices (MFDs) will be replaced with new Toshiba or Hewlett-Packard (HP) models. Note: Color printing will be available only on Toshiba devices. - Location:
Many of the new Toshiba and HP MFDs will be installed in the same locations as existing equipment to maintain convenience. Every effort has been made to ensure that device locations are easily accessible to all members of the campus community. A complete list of locations will be shared once the installation process is complete. - New Print Queue – SUNY Niagara Secure:
This new secure queue will replace all current printer-specific options. For example, instead of selecting a printer like “PRTDBUILD,” you will now select “SUNY Niagara Secure.” - Pharos Print Software:
The Pharos Print application and desktop icon will be automatically deployed to all faculty and staff computers by OIT. This software allows you to view and manage all of your pending print jobs before releasing at a MFD. - Secure Print Release:
After submitting a print job, it will not automatically print.
To release your documents, go to any MFD on campus and authenticate using one of the following:
• Your SUNY Niagara ID badge (for faculty/staff)
• The Pharos Secure Release mobile app
• Your unique PIN
Once authenticated, you can choose which print jobs to release from your personal queue.
Key Benefits:
- Flexible Access: Print jobs can be released at any new MFD on campus.
- Secure Printing: Only authenticated Users can release print jobs, preventing documents from being left behind.
- Sustainability: Helps reduce unnecessary printing and paper waste.
What’s Next:
Once the rollout is complete, all Users will receive step-by-step instructions for setting up your authenticator (PIN and/or mobile app). For faculty and staff, we are coordinating with Public Relations, OIT, and Campus Security to issue new ID badges. Students will use their assigned PINs and/or the Pharos Secure Release app. Once the new ID badges are ready, the Print Initiative Team will contact faculty and staff with instructions on how to obtain them. In the coming days, we will also share:
- Pharos mobile app download links and setup instructions
- Quick-start guides and training resources
